Admissions Policy
 
Policy Statement
We aim to ensure that all sectors of our local community have access to the setting through open, fair and clearly communicated procedures.
 
Procedures
·      Smilers ensures that it’s services are advertised widely, accessible to all sections of the community
·      We ensure that the information about our setting is provided in written and spoken form
 
Our admissions policy is available on our website.
 
Eligibility, Registration and Waiting List
·      We offer places for children under two years of age in our baby room.  Parents are invoiced for the space that they have booked for their child.  This space needs to be paid for even if the child is absent.
·      In our Kindergarten room we offer places to children who are entitled to 15 hours funding and also fee paying children.  As in the baby room, the parents are invoiced for the space and need to pay if the child does not attend.  Parents are able to use their 15 hours funding throughout the nursery day, this can include breakfast and after school sessions as well as the standard sessions during the day.
·      In our Pre-school room we offer spaces for children who are aged 3 (the term after their 3 birthday) and 4 year olds.  We offer places to children in receipt of their 15 hours funding and 30 hours funding (if applicable).
·      When initial contact is made a parent pack will be given to parents.  When this is returned the child’s name will be added to the register or the waiting list.  Children are added to the waiting list in line with birth order and the date in which the registration forms are returned to Smilers. 
·      Smilers cannot afford to leave spaces empty. 
·      Although parents/carers are asked if they have a preference for which days and times that their child attends, during busy periods this may not be possible and available sessions will be offered, this can include breakfast and after school sessions.  As sessions become available they will be offered to the children currently attending the nursery.
 
Acceptance of a place at Smilers
·      For any sessions that the child attends, over and above the 15/30 hours funding, parents/carers will be invoiced.
·      Places cannot be saved for children, due to financial sustainability.
·      We will make every effort to work with any other setting/child minder that the child attends.
·      Children already attending Smilers will be offered extra days/sessions before places are offered to new children.
 
Children are offered a place using the following criteria:
Our waiting list is arranged in birth order and when the completed paperwork was returned to Smilers.
In addition, we may take other information into account:
·      The needs of the child e.g. 2 year funded, referred by social services
·      A child who is eligible for 15/30 hours funding
·      A child who has a sibling at the setting
·      A member of staff’s child
·      A child who has had a sibling attend Smilers
·      A child of a teacher at Chattenden Primary School
 
Offer of a place at Smilers
·      You will be contacted by telephone or email to offer your child a place.  If we have not heard anything in a week, we will contact you again.  If we do not hear from you within 24 hours of the second contact, we will contact the next person on the waiting list.
·      If a child is eligible for 2 year old funding, you will need to provide their reference number on acceptance of their place.  If a child is eligible for 30 hours funding, you will need to provide their reference number on acceptance.
 
Over subscription criteria
Priority will be given to:
·      The needs of the child e.g. referred by social services
·      A member of staff’s child
·      A child who has a sibling at the setting
·      A child of a teacher at Chattenden Primary School
·      A child who has had a sibling attend Smilers
·      A child who is eligible for 15/30 hours funding

When we are at full capacity, we will work with parents/carers to enable them to seek alternative care for their child.
